Terms & conditions

Prior to any booking, please read the following Terms and Conditions carefully and ensure that you fully understand them, as they form the basis of your contract with Amanda Travel Guru Mongolia, LLC. By asking us to confirm your booking, we are entitled to assume that you have read, understood, and agreed to be bound by these Terms and Conditions.

References to “tour2mongolia.com,” “Guru Travel Mongolia,” “us,” “we,” and/or “our” herein shall mean Amanda Travel Guru, LLC. References to “client,” “you,” and/or “your” mean all persons named on the booking (including anyone who is added or substituted at a later date).

These Terms and Conditions apply to any booking you make with our travel advisors (by phone, email) as well as online bookings made via our website.

1. Payments:

  • To reserve a trip, Guru Travel Mongolia requires a 20% deposit of the total tour cost for confirmation.

  • Once the deposit is received, your reservation will be confirmed and accepted by Guru Travel Mongolia. A final invoice for the balance payment will then be issued.

  • The remaining 80% balance must be paid no later than 30–45 days prior to the tour start date.

  • For last-minute bookings (within 30 days or less of the tour start date), full payment is required at the time of booking.

2. Methods of Payment

1.  Debit/Credit Card Payment

  • A 4.2% surcharge applies.

  • For the deposit (20%), this surcharge will be covered by Guru Travel Mongolia.

  • For the balance (80%), the surcharge will be borne by the client.

2.  Bank Transfer or WISE

  • Any banking or transfer fees related to the balance payment (80%) are the responsibility of the client.

3. Cancellation Policy:
In the event of cancellation of tour/travel services for any reason, we must be notified in writing. The effective date of cancellation is the date on which we receive your written notice. Cancellation charges are as follows:

  1. 60–51 days prior to arrival: 100% of the deposit refunded, minus any costs incurred (VAT, flight and hotel cancellation fees, permit fees, banking fees, etc.).

  2. 50–41 days prior to arrival: 50% of the deposit refunded.

  3. 40–30 days prior to arrival: 80% of the full payment refunded (20% deposit is non-refundable).

  4. 29–14 days prior to arrival: 70% of the full payment refunded.

  5. Less than 14 days prior to arrival / No Show: No refund.

Group tour

  • Group tour prices are based on a minimum of 5 participants.

  • If fewer participants register, tours may still operate privately with an additional surcharge of USD 100–300 per person depending on the group size and departure date.

  • Hotel accommodation is based on twin / triple rooms. A single room supplement is available upon request.

  • Any optional activities or extra charges not mentioned in the tour itinerary are the responsibility of the client.

Travel Documents

  • Clients must ensure they hold a valid international passport with at least six (6) months’ validity beyond the date of entry.

  • Please carefully check your invoice and all travel documents we send. Contact us immediately if any information appears incorrect.

Children Discount

  • Infants under 2 years: Free of charge

  • Children aged 3–11 years: 30% discount off the regular adult price

  • Children 12 years and older: Charged at full adult price

Travel Insurance

  • Travel insurance is not included in the tour price.

  • All medical costs and other expenses must be paid by the client.

  • We strongly recommend that clients obtain comprehensive travel insurance in their home country, covering medical expenses, cancellations, accidents, and personal belongings.

  • Before your trip, please inform us by email of your insurance company, policy number, and emergency contact details.

Complaints

We aim to provide excellent service. If you are dissatisfied for any reason, please notify your guide or our office immediately so we can address the issue during your trip.

  • All complaints must be submitted in writing to Guru Travel Mongolia within after the tour has ended.

  • Complaints submitted after this period will not be considered for compensation.
